The process
How headliner booking works
- 1
Budget reality check
Tell us who you want and your all-in budget. We give you an honest read on whether it is realistic, along with alternatives at different price points.
- 2
Availability and interest
We contact the artist's responsible agent to confirm the date is open and that they will consider a private or corporate engagement.
- 3
Formal offer
We submit a written offer covering fee, date, set length, venue, capacity, production, hospitality and travel. Agents take structured offers seriously.
- 4
Negotiation
Counteroffers on fee, set length, radius clauses, rider items and travel are where most of the savings happen. We handle every round.
- 5
Contract and deposit
Once accepted, the artist contract and rider are issued. We review them with you before signing. Headliners typically require a substantial deposit to confirm the date.
- 6
Advance and show day
We advance production, backline, hospitality, transportation and the schedule with the artist's team and your venue.
What goes into the total cost
The artist fee is only part of the picture. A realistic budget accounts for everything on the rider.
- Artist fee
- The guaranteed amount paid to the artist. The biggest variable.
- Production
- Stage, sound, lighting and video to the artist's technical rider.
- Backline
- Rented instruments and amplifiers the artist does not travel with.
- Travel
- Flights, hotels and ground transport for the artist and crew.
- Hospitality
- Green room, catering and items listed in the hospitality rider.
- Security & staffing
- Stage security, runners and settlement staff where needed.
Headliner booking FAQ
Will a famous artist really play a private party?
Many do. Private, corporate and festival bookings are a significant source of income for touring artists. The deciding factors are usually the date, the fee and the nature of the event.
How long does it take to book a headliner?
Plan on 2 to 6 months for most artists. Shorter timelines are possible when the artist is already routing through the region.
Can we keep the booking confidential?
Yes. We can sign an NDA and many private bookings are never announced. Some artists have their own confidentiality requirements as well.
Do you guarantee an artist will accept?
No one can guarantee that. We maximize your chances with a realistic, well-structured offer, and we line up alternatives so your event is never left empty.
Are you the artist's agent?
No. We represent you, the buyer. Artists are represented by their own agencies. Our role is to get you the best possible terms from them.
